No-Show Recovery Workflow

Trigger

Pipeline stage moved to "No Show" (manually by sales rep after confirming they didn't attend and attempted double-dial)

SMS Sequence (5-6 touches)

Touch 1 — Immediate: "Just tried calling about your appointment. Looks like we missed you. Grab a new time here: [rebooking_calendar_link]"

Touch 2 — 4 hours later: "Still want me to walk through the site I built for your business? I can show you how it would bring in more jobs in about 10 minutes. Here's a link to pick a new time: [rebooking_calendar_link]"

Touch 3 — Next day (24 hours): "If you're still interested in getting the site and automating your business, grab a time: [rebooking_calendar_link]"

Touch 4 — 48 hours: "Quick check-in. Should I close this out or do you still want to see how this could bring in more jobs for you? If so, grab a time here: [rebooking_calendar_link]"

Touch 5 — 72 hours (final): "Last message from me on this. If now isn't a good time, no worries. If you still want to revisit later, you can rebook here anytime: [rebooking_calendar_link]"

Email Companion

Send email on Touch 1 with subject line referencing the missed appointment and including rebooking link.

Key Configuration

  • Custom Value: {{custom_values.rebooking_calendar_link}} — NOT rebook_calendar_link (wrong underscore/naming caused hours of debugging)
  • Rebooking Calendar Setup: Separate calendar named "Discovery Call Rebook" with:
    • 3-hour minimum booking notice
    • 15 max booking slots
    • Same availability as main calendar
  • Business Hours Gate: Use GHL time filter on wait actions to ensure SMS only sends 8am-5pm
  • Do NOT remove contacts from all workflows — no-show leads may still be valuable and enrolled in other nurture flows

Debugging Lessons Learned

  • Custom value naming is EXACT — rebooking_cal_linkrebook_calendar_link
  • Always save before testing (no auto-save in GHL workflow builder)
  • Draft mode doesn't work for workflows with agent triggers — must be published
  • The GHL AI workflow builder sometimes inserts the wrong custom value tag — always verify manually
